Job Summary
The Human Resources Assistant will assists with the administration of the day-to-day operations of the human resources functions and duties. The HR assistant carries out responsibilities in some or all of the following functional areas: HRIS, Record Management, employee relations, benefits administration, and recruitment support.
ROLES AND RESPONSIBILITIES
- Talent Acquisition & Recruitment
- Sourcing: Draft and publish engaging job advertisements across various platforms.
- Candidate Management: Screen resumes, shortlist qualified talent, and manage candidate communications to ensure a positive employer brand experience.
- Logistics: Coordinate and schedule interviews, ensuring all stakeholders are well-briefed.
- Assessment: Administer and score aptitude tests for graduate trainees, interns, and entry-level roles.
- Evaluation: Participate as a panellist in interviews for various operational roles.
- Compliance: Facilitate comprehensive background checks and reference verifications for all successful candidates.
- Onboarding & Employee Integration
- Induction: Coordinate and facilitate structured orientation sessions for new hires.
- Resource Readiness: Liaise with IT to ensure "Day 1" readiness (laptops, access cards, workstations).
- Digital Integration: Ensure that all new hires are onboarded into the HRMIS and they fill all the onboarding forms
- Benefits Enrolment: Ensure timely registration of staff for medical schemes, Group Life Assurance (GLA), and payroll systems.
- HRIS & Data Management
- System Integrity: Act as the primary custodian of the HR Information System (HRIS), ensuring 100% accuracy in data entry and updates.
- Cross-System Sync: Maintain up-to-date employee records across secondary platforms, including meal systems, Navision (Payroll), and Performance Management modules.
- Reporting & Analytics
- Status Reports: Prepare monthly report on recruitment metrics, new joiners, and exits.
- Performance Tracking: Maintain the performance management tracker to ensure appraisal cycles are met.
- Compliance Tracking: Monitor leave balances and track probation periods, proactively following up with line managers for timely reviews.
- Records Management & Documentation
- File Custodianship: Organize and maintain physical and digital personnel files, ensuring compliance with data protection policies.
- Audit Readiness: Ensure all mandatory documents (contracts, IDs, certifications) are present and correctly filed.
- Administrative & Legal Support
- Letters and correspondence: Prepare formal HR correspondence, including offer letters, probation confirmations, bank/visa letters, and disciplinary notices.
- Financial Liaison: Process pre-employment medical invoices and coordinate with the Finance department for prompt payment.
- General Admin: Handle day-to-day HR inquiries and ensure all filing is completed with high attention to detail.
EXPERIENCE, ACADEMIC & PROFESSIONAL QUALIFICATIONS AND KNOWLEDGE
- Bachelor’s degree in Human Resources, Social Sciences, Business Management or related discipline from a reputable university.
- Professional certifications (CHRP, CIPD, SHRM) are a requirement.
- At least one year experience with strong human resources credentials.
